The Woodson Privacy Policy

Effective date: October 25th, 2026

The Woodson Development Group, LLC ("The Woodson," "we," "us," or "our") provides this Privacy Policy to explain how we collect, use, disclose, and protect personal information through thewoodson.com and communications related to website inquiries and our pre-lease interest list.

This policy covers our informational website and related inquiry communications. It does not replace any additional notices, authorizations, or terms provided for rental applications, screening, payments, resident services, or on-site security systems.

1 Information we collect

Information you provide. We collect your name and email address when you join our pre-lease list. You may also provide your phone number, preferred apartment type, expected move timing, and information in communications with us. We record your email and text-message preferences, the source of an inquiry, submission dates, and records of our follow-up.

Information collected automatically. Our website and technology providers process technical information needed to deliver and protect the site. This may include your IP address, browser and device information, requested pages, referring page, access times, and error or security logs. We use IP addresses to help limit abusive form submissions.

Administrative accounts. Authorized website administrators may have account identifiers, names, email addresses, authentication records, and session information processed to manage website content and inquiries.

Our pre-lease form does not request Social Security numbers, financial account information, identification documents, medical records, or screening reports. Please do not include these in ordinary website inquiries or email. Contact us to arrange an appropriate process if sensitive information is needed.

2 How we use information

We use information to respond to inquiries; maintain the pre-lease list; communicate about apartment preferences, project progress, availability, and leasing; record and honor communication choices; operate and troubleshoot the website; prevent spam and misuse; and maintain records needed for legal obligations, disputes, and protection of our rights.

Joining the pre-lease list does not submit a rental application, reserve an apartment, establish priority, or guarantee availability. A website inquiry does not authorize a credit or background check.

3 How we disclose information

Property personnel and service providers. We disclose information as needed to authorized personnel and property-management representatives working for The Woodson, and to providers supporting website hosting, databases, email delivery, communications, security, and technical support. Form submissions are stored in our inquiry system and forwarded to our office by email. These services necessarily process the information required to perform their functions.

Legal and business purposes. We may disclose information to legal or professional advisers; in response to valid legal process or other legal obligations; to investigate misuse or protect rights and safety; or in connection with a proposed or completed sale, reorganization, or transfer of the property or business, subject to applicable confidentiality and privacy requirements. We may also disclose information when you direct or authorize us to do so.

We do not sell or rent personal information, disclose it for other companies' independent marketing, or share it for cross-context behavioral advertising. Mobile phone numbers and text-message consent records are not shared with third parties or affiliates for their own marketing or promotional purposes. Providers supporting our communications may process this information to deliver those services.

4 Cookies and third-party technology

Cookies are small files stored by your browser. We use cookies where needed for authentication, security, and website functionality, including administrator sign-in. You can manage cookies through your browser settings; blocking them may prevent some functions from working.

The website loads fonts from Google Fonts. Your browser connects to Google to retrieve them, which discloses technical request information, including your IP address and browser information. Google's handling of that information is described in its privacy information at https://policies.google.com/privacy.

We do not currently use advertising pixels, session-replay tools, or third-party behavioral analytics to track visitors across websites. Our website does not change its behavior in response to a browser's legacy Do Not Track signal. That signal is different from Global Privacy Control. We honor legally required opt-out preference signals when applicable to our processing.

Links to outside websites, social media, or a separate application portal take you to services with their own privacy practices. Review their notices before providing information. This does not limit our responsibilities for information we collect or receive through those services.

5 Email and text preferences

When you join our pre-lease list, you ask to receive project and leasing updates. You can unsubscribe from marketing emails using the instructions in a message or by emailing office@thewoodson.com. We honor marketing-email opt-out requests within 10 business days. We may still respond to a new inquiry you initiate or send legally required or other nonmarketing communications.

Text updates are optional and require a separate opt-in. Providing a phone number alone does not enroll you. If you enroll, message frequency varies and message and data rates may apply. Reply STOP to opt out, or contact office@thewoodson.com for help or to withdraw consent. We also honor other reasonable withdrawal requests as required by law. Text consent is not a condition of renting an apartment or receiving housing services. This policy itself does not provide consent to automated marketing calls or texts.

6 Privacy requests

To request access to, correction of, or deletion of information you provided, or to change communication preferences, email office@thewoodson.com. Describe your request and provide enough information for us to locate your records. Please do not send identification documents or sensitive account information unless we arrange a secure method.

Depending on your residence and the law applicable to our activities, you may have additional rights, including data portability, restrictions on certain processing, an opt-out of sale, targeted advertising or certain profiling, or an appeal of a denied request. Contact the same email address to exercise an applicable right or submit an appeal. Where required, an authorized agent may submit a request on your behalf. We do not unlawfully discriminate against anyone for exercising privacy rights.

We may need to verify identity or an agent's authority before disclosing or changing records. We respond within applicable legal deadlines. Some requests are subject to legal exceptions, including obligations to retain records, protect other individuals, or preserve information for a dispute. If we cannot fulfill a request, we will explain the reason and any applicable appeal process.

7 Retention and security

We retain information for as long as reasonably necessary for the purposes described here, including responding to inquiries, maintaining requested updates, documenting consent and opt-outs, complying with law, and resolving disputes. Relevant factors include whether an inquiry remains active, the information's sensitivity, and applicable recordkeeping obligations. When information is no longer needed, we delete it or de-identify it, subject to legal holds and limited backup retention. We may retain minimal suppression records to honor opt-outs.

We use reasonable administrative and technical safeguards appropriate to the information we handle. No website, email system, or storage method is completely secure. If a security incident requires notification under applicable law, we will provide the required notices.

8 Children

This website is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through the site. If you believe a child has provided such information, contact us so we can investigate and take appropriate steps, including deletion where required. This website privacy provision does not restrict housing opportunities for families with children.

9 Policy updates

We may update this policy as our practices or legal requirements change. We will post the revised policy here and update its effective date. For material changes, we will provide a prominent website notice or other notice appropriate to the change, and obtain additional consent when required. An update does not override choices or protections that applicable law requires us to honor.
